Systems integration: connect your records system to the tools you already use
Connect the records system to the finance and identity systems you already run.
Staff should not have to file the same document twice. Systems integration connects the records system to the identity and finance systems your organisation already runs, so documents are linked where the work happens.
This service is being introduced in stages through 2026-27. We scope each integration on its own and tell you plainly what is available now and what is planned.
Who it is for
SACCOs, NGOs and mid-market organisations that run Microsoft 365, Microsoft Entra ID, Dynamics 365 Business Central or Dynamics NAV. Organisations whose SharePoint and OneDrive have grown without structure. Teams that already have an EDMS and want it to fit their daily tools.
The problem it solves
When systems are not connected, staff sign in several times, invoices live in finance while their approvals live somewhere else, and SharePoint sites multiply with no retention or classification. The result is duplicated work and records that cannot be trusted as complete. Auditors and managers then have to chase evidence across several systems.
How we do it, step by step
Scoping
We map the systems involved, the data that should flow between them and who owns each part.
Design
We agree the integration design, security model and test plan in writing.
Build and test
Connections are configured and tested with real scenarios before staff use them.
Migration
For SharePoint and OneDrive, content is reviewed, classified and moved into the governed system, with duplicates and expired records dealt with first.
Handover
Staff are briefed, documentation is handed over and support can continue under managed services.
Single sign-on with Microsoft Entra ID
Staff sign in to the records system with the same account they use for email, and access ends when their account is disabled. This reduces password problems and makes the process for leavers more reliable.
Document linking with Business Central and Dynamics NAV
Supporting documents such as invoices, delivery notes and approvals are linked to the transactions they support. An auditor or manager can then open the evidence from the transaction itself.
Governed SharePoint and OneDrive migration
Ungoverned file shares are reviewed before anything is moved. Content is classified to your file plan, duplicates are removed and records past their retention period are set aside for approved disposal.
What you receive

Timelines and cost
Each integration is scoped on its own, and the proposal states which parts are available now and which are planned. Fees are scoped per engagement, and you receive a written proposal within 48 hours.
Frequently asked questions
- Is systems integration available now?
- It is being introduced in stages through 2026-27. Ask us about a specific integration and we will tell you where it stands.
- Do we need an EDMS first?
- Yes, for document linking and single sign-on, because the integration connects the EDMS to your other systems.
- Can you tidy up SharePoint without moving it?
- Our focus is moving content into a governed system, but the review and classification steps are useful on their own and can be scoped separately.
