Managed hosting for your records and library systems
Hosting for your systems on vetted infrastructure, with the location agreed in writing.
Where your records system runs matters as much as how it is configured. Managed hosting puts your EDMS, library or other systems on vetted infrastructure under a monthly subscription, with the hosting location and data protection terms agreed with you in writing.
This service is being introduced progressively, subject to due diligence on each provider. Kenyan hosting is available for client production systems.
Who it is for
Organisations that want their data held in a chosen jurisdiction. Organisations without their own servers or IT team. Users of our EDMS and library systems who want one partner for the system and for where it runs.
The problem it solves
Self-hosting a records system means servers, backups, security patches and reliable power, all of which need skilled attention. Cloud accounts set up without a plan can leave data in an unknown location under unclear terms. Under the Data Protection Act 2019, you need to know where personal data is processed and on what terms.
How we do it, step by step
Requirements
We agree where the data may be held, the size of the system, backup expectations and who needs access.
Provider due diligence
Each hosting provider is checked before use: location, security, backups and contract terms.
Written terms
The hosting location and data protection terms are agreed in writing before anything is moved.
Setup and migration
The system is set up on the agreed infrastructure, and data is migrated and checked.
Operation
Monitoring, backups and updates continue, usually alongside managed services.
Data protection and hosting location
You decide where your data lives, and the decision is written down. We explain the options and their trade-offs plainly, including what each provider does and does not cover. Where personal data is involved, the arrangement is set out in a written data processing agreement, in line with the Data Protection Act 2019.
Your data stays portable
Hosting is a service, not a trap. Your data can be exported in standard formats, and the documentation for your system belongs to you. If you later move the system in house or to another provider, we help you do it in an orderly way.
Backups and recovery
Backups are part of the hosting arrangement, not an extra. How often they run, how long they are kept and how quickly a system can be restored are agreed in writing, and restores are tested, not assumed.
Introduced progressively, subject to provider due diligence.
Timelines and cost
Hosting is offered as it is introduced, after provider due diligence. Fees are scoped per engagement, and you receive a written proposal within 48 hours.
