Paperless office advisory: a measured route from paper to digital

A measured route to paperless operations, with the evidence to report progress.

Available

Going paperless is less about scanners and more about decisions. Which processes should go digital first? Which records must stay on paper? How will you show your board or funders that it worked? We help you answer those questions and build a plan you can follow.

Our approach is baseline and measure. We record how much paper, printing, storage and movement your records create today, then track the change as the plan is delivered. We do not invent savings or promise ratings.

Who it is for

Organisations that have committed to a paperless office or a sustainability goal and need a practical plan. Listed and public interest entities that report on environmental matters. NGOs whose funders ask about environmental practice. Government entities moving registries to digital systems. Growing businesses that want to stop paying for more filing space.

The problem it solves

Paperless projects often stall because they start with technology instead of process. Staff scan documents but keep printing them. Old paper stays in the store room because nobody approved its disposal. And without a baseline, nobody can say whether the change made a difference. A measured plan deals with all three.

How we do it, step by step

  1. Baseline

We measure current paper use, printing, physical storage and the movement of files, using your own records and simple counts.

  2. Process review

We find the processes where paper adds the most cost or risk, such as approvals, member files or registries.

  3. Roadmap

We sequence the change in phases matched to your priorities and budget: records organisation, digitisation, an EDMS and new digital workflows.

  4. Indicators

We agree a small set of indicators you can report honestly, such as reams bought, storage space used and files moved.

  5. Evidence plan

We set out which records prove progress, so sustainability statements are backed by evidence.

  6. Periodic review

We review the indicators against the baseline at agreed intervals and adjust the plan.

Sustainability claims you can stand behind

Carbon estimates are available on request, calculated with recognised published factors and shown with their assumptions. We do not certify ESG performance or promise ratings. We strengthen the evidence behind what you report, which is what auditors and funders look for. Read more about our paperless and sustainability approach.

What you receive

  • Paper and storage baseline, with carbon estimates on request using recognised published factors
  • Paperless roadmap sequenced to your priorities and budget
  • Measurement framework with a small set of reportable indicators
  • Records evidence plan supporting sustainability and ESG disclosures

Timelines and cost

The baseline and roadmap usually take two to four days of work. Reviews then follow at intervals you choose. Fees are scoped per engagement, and you receive a written proposal within 48 hours.

Frequently asked questions

Can an organisation in Kenya go completely paperless?
Most can go a long way, but some originals must be kept by law. The roadmap separates what can go digital from what must stay on paper.
Will you tell us how much we will save?
We measure your starting point and track the change. We do not publish predicted savings before the baseline exists.
Do you provide ESG certification?
No. We provide the records evidence behind your reporting, not a rating or a certificate.
Where should we start?
Usually with the baseline and a records audit, which shows where paper causes the most cost and risk.
