Data and information management: turning governed records into decisions

Managing and analysing information on behalf of organisations.

Roadmap

Once records are organised, digital and governed, they can answer questions. How long does an approval take? Which branch has the most incomplete files? Which records are reaching the end of their retention period? Data and information management is about using your records as a source of reliable information.

This service is on our roadmap. It builds on the foundation our other services create, because analysis is only as good as the records behind it.

Who it is for

Organisations that already have governed records, usually in an EDMS, and want to use them for management reporting. Boards and managers who need reliable figures for decisions and for reporting to funders and regulators.

The problem it solves

Many organisations try to build reports on data they cannot trust: duplicated files, missing fields and inconsistent names. The reports are then questioned, or quietly ignored. The fix starts with the records, not with the dashboard.

How we do it, step by step

  1. Information needs

We agree which questions managers need answered, and how often.

  2. Data review

We check whether the records and their metadata can answer those questions reliably.

  3. Data quality

Gaps and inconsistencies are fixed at the source, in the records system, so they do not come back.

  4. Reporting

Simple, regular reports are set up for the questions that matter.

  5. Review

Reports are reviewed with the people who use them, and adjusted.

Why records come first

Good information depends on the records underneath it. That is why our pathway starts with a records audit, then organisation, digitisation and a governed system. Analysis built on that foundation can be trusted, explained and repeated.

Questions your records can answer

  • How long approvals take, from request to sign-off
  • Which files are incomplete, and in which department or branch
  • Which records are due for review or disposal under your retention schedule
  • How paper use and storage are changing against your baseline

Each of these depends on the same thing: records captured consistently, with the right metadata, in one governed place.

Personal data

Information drawn from records often includes personal data. Any analysis is planned with the Data Protection Act 2019 in mind: a clear purpose, the minimum data needed, and access limited to the people who need it.

Frequently asked questions

Is this service available now?
Not yet. It is on our roadmap. The groundwork, getting records organised and governed, is available now.
Do we need an EDMS first?
Usually, yes. Reliable information depends on records with consistent metadata, which an EDMS provides.
Will you build dashboards?
Where they help. The aim is reliable answers to real questions, not decoration.
Can you work with data held outside the records system?
Where it helps answer the same questions, yes, once the scope and the data protection position are agreed in writing.
